Our entire workflow is built around the fast-moving pace of conferences, ensuring you receive clean, consistent, polished images and/or video every time.
Do you travel?
Yes — Nashville based, nationwide ready.
We cover conferences across the United States and are available for select international events as well. Whether your event is in Nashville, Las Vegas, Orlando, Austin, Chicago, or anywhere else, we’re equipped and ready to go. Nationwide travel is included in our day rate, just provide us with a hotel room!
Do you charge travel fees?
We keep travel simple: Day rate + room.
You cover our photography rate plus a hotel room.
We handle the rest.
Flights, rental cars, meals, parking, rideshares, and baggage fees are all included on our end—no surprise invoices or add-ons.
Simple, predictable, conference-friendly.
Do you offer same-day photo delivery?
Yes. Our Day Rate includes same-day preview photos for keynote sessions, press releases, and social media. Full galleries are available within 2 days.
Full same-day galleries are available for select events for an additional fee. Just let us know during the planning process so we can reserve the time.
Do you offer same-day or next-day video edits?
Video projects are generally available within 7 days. For conferences that need fast marketing content, we can provide:
Same-day mini recap clips
Same-day testimonials
Next-day highlight videos
Availability and pricing depends on the scale of your event and the editing demands.
Do you provide both RAW files and edited deliverables?
You’ll receive fully edited, polished images in a clean, professional style suitable for corporate use.
RAW files are available upon request for an additional fee to cover file management, transfer time, and storage requirements.
How fast will we receive our final gallery?
Our standard delivery times are:
Photography: typically within 48 hours!
Headshot stations: typically within 72 hours depending on volume
Video edits: usually within 7 days, but up to 14 days depending on complexity
If you have a hard deadline, just let us know—we can often accommodate accelerated turnarounds.
How far in advance should we book?
Conference dates fill quickly.
To officially reserve your date, we require a signed agreement and retainer. Events are booked first-come, first-served, and we recommend securing your date as early as possible—especially spring and fall conference seasons. If your corporation has different payment terms, reach out. We can generally accommodate different payment agreements.
Do you carry backup equipment?
Absolutely. Every event includes:
Backup camera bodies
Backup lenses
Multiple lighting setups
Redundant memory systems
On-site backups of images the day they’re captured
Conference photography demands reliability—we prepare for every scenario.
Can you cover multi-day or multi-room events?
Absolutely. We routinely photograph multi-day events, concurrent breakout sessions, multi-room schedules, and large expo floors.
Additional photographers can be added as needed for full coverage.
How do we book you?

From there, we’ll discuss your schedule, coverage needs, and deliverables. Once the agreement and retainer are completed, your conference date is officially locked in.
